WhatsApp Billing — Send the Bill Before the Customer Leaves

The invoice, the payment receipt, the delivery challan, the quotation and the full party statement all share as PDFs on WhatsApp from the screen you are already on. Reminders that carry the working

It also leaves a dated record that a reminder was sent, which matters if an account eventually has to go further. The message goes from the outstanding screen with the PDF attached.

The message your customer receives can be in Hindi, which for most shops is the difference between a document that gets read and one that gets ignored. The invoice itself can be in Hindi too, with GSTIN, HSN codes and tax labels kept in English as the GST format requires — so the customer understands it at a glance and their accountant can still file from it.

What it replaces

The bill book carbon copy, the challan pad, the photograph of a handwritten statement, and the phone call asking what somebody owes. It also removes the most common failure in site supply, which is a paper challan that never reaches the office. Where the customer wants paper they still get it printed; what changes is that the paper is no longer the only copy in existence.

What to send and what not to

The temptation once sharing is one tap is to send everything to everyone, and that is how a shop becomes the thing customers mute. The documents worth sending unprompted are three: the bill at the time of sale, the receipt when a payment is taken, and the statement on the first of the month. Reminders go only to parties whose balance has actually aged. Challans go to the buyer's office rather than to the site foreman, because the person who approves payment is the one who needs the record. Shops that keep to that pattern find their messages get read; shops that send four things a week find they do not.
