Your format, set once
Your logo, shop name, address, GSTIN, phone number, terms and conditions, signature and bank details all sit in settings and appear on every document from then on. A UPI payment QR can be printed on the bill so the customer pays from the invoice itself rather than asking for your number. You choose A4 for a proper invoice or an 80mm or 58mm thermal roll for a counter receipt, and both carry the same information laid out for the paper they are printed on.
Not just invoices
The same system produces quotations, proforma invoices, delivery challans, payment receipts, cash vouchers and party statements, all in your format and all shareable as PDFs on WhatsApp. A quotation converts into an invoice without re-entry, and a challan links to the bill it belongs to. That matters because in most shops these documents live in different places — quotes in a notebook, challans on a pad, receipts on a slip — and the connection between them exists only in someone's memory.
Numbering that stays clean
Invoice numbers run in a single unbroken series per financial year with your own prefix, which is what GST expects and what makes an audit straightforward. Receipts and quotations run their own series. Numbers are allotted per company, so nothing collides and nothing is skipped. If you have two branches they can share the series or run separate ones, depending on how your accountant wants it.
Getting paid faster from the invoice itself
The gap between issuing a bill and being paid is usually friction rather than unwillingness. A UPI QR printed on the invoice removes one step — the customer pays from the paper in their hand instead of asking for your number and typing it. Sending the PDF on WhatsApp the moment the bill is raised removes another, because the invoice reaches the person who approves payment rather than travelling back with the driver. For credit sales, a monthly statement sent automatically does the same job. None of it is dramatic on its own; together they take days out of a collection cycle.
