Cash goes missing in shops slowly and invisibly — a payment taken and not noted, an expense paid from the counter, a UPI receipt that nobody recorded. A cash book that closes every evening catches it the same day rather than at year end when nobody can remember a Tuesday.

Cash, UPI and card kept separate

Most shops record a day's takings as a single figure, which hides exactly the thing you need to see. When a supplier says a payment was not received, you have the date and the mode.

Closing the day as a habit

The routine is short: check the day's receipts by mode, record any expenses paid from the drawer, and compare the cash figure against what is physically there. Where more than one person billed, the figures break down by staff login, not to catch anybody but because an error found the same evening takes a minute and the same error found in March takes an afternoon. The shortfalls stop being mysterious once the checking happens daily instead of yearly.
