A Busy Alternative That Is Not Tied to One Computer

The strongest argument for installed software is that it works when the power is out. The strongest argument against it is that your entire trading history lives on one machine at the counter.

The power-cut objection, answered

It is a fair objection and it is why most shops hesitate. The answer here is the Android app: bills, receipts and deliveries record with no connection at all and sync when coverage returns, with Bluetooth thermal printing working throughout. Your counter does not stop. What does wait for a connection is sending a WhatsApp message and seeing what somebody recorded on another device — worth knowing so it is not a surprise during an outage.

What the single machine actually costs

A counter PC holding your whole history is exposed to theft, a failed disk, a power surge and ransomware, and is backed up only when somebody remembers. You cannot bill from a site. A second branch needs a second installation with no shared view. And you depend on one local dealer for updates and fixes. None of these matter until one of them happens, at which point all of them matter at once.

What you give up

Full double-entry accounting, journals, depreciation and statutory reporting. Your CA works from sales, purchase, stock and GST summaries instead. If anyone in your business genuinely produces books today, this is the wrong move. If the accounting parts have sat unopened while your CA worked from their own copy, you lose nothing real.

Moving off an installed package

Take three exports from the installation: items, parties and current outstanding balances. Everything else stays where it is — the machine keeps working and remains your reference for previous years, which matters if a query comes up on an old bill. Two practical points. Check the backup on that machine before you touch anything, because it is the one moment you will actually think about it. And note that item masters in accounting software usually carry one unit, so where you buy in tons and sell in kilos the conversion has to be set here during setup. That step is worth doing slowly. After the thirty-minute call you are billing; stop entering new transactions into the old system the same day rather than tapering off.

Keeping the old installation for a while

Do not uninstall anything on day one. Leave the old package on its machine, stop entering new transactions into it, and keep it available for a quarter. Two things come up in that period: a query about a bill from a previous year, and your CA wanting a report in the format they are used to. Both are five-minute jobs if the old system still opens and an afternoon of reconstruction if it does not. After a quarter, take a final export of anything you might want, note where the backup lives, and let it go. The machine itself is usually still useful as the shop computer running the browser.
