Setup in 30 Minutes — Getting Started

Most shops expect this to be a project and are surprised that it is an afternoon. There are four things to do — your shop details, your main items, your parties with their opening balances, and your bill format — and our team does them with you on a call.

The four steps

First, your shop details: name, address, GSTIN, phone number and logo, which then appear on every document. Second, your items — start with the twenty or thirty you actually sell most, each with its unit, rate, GST rate and HSN code, and add the rest as they come up. Third, your parties, with the balance each one currently owes you. Fourth, your bill format: A4 or thermal, terms, bank details and a UPI QR. That is the whole setup.

Bringing across old data

You do not re-enter history. For credit customers you enter one opening balance per party and the ledger continues from there; the old register stays for reference. Item and party lists can be imported from an Excel file, a Tally export, or even photographs of your register — send us what you have and our team brings it in. Opening stock is entered for the items that matter, not for everything, and the rest gets added as you sell it.

How long it really takes

The call is about thirty minutes and you will raise a real bill before the end of it. Getting fully comfortable takes about a week of normal trading, and the item list keeps growing for a month or so. In Patna and Kolkata a member of our team can come to your shop and do all of it on site at no charge; everywhere else it is a call and a screen share, which takes the same time.

What to do in the first week

Cut the paper register on day one rather than running both — that is the single biggest predictor of whether this sticks. Give your counter staff their own limited login in the first week so billing does not depend on you being present. Send your credit parties their first statement at the end of the first month. And do not wait for a perfect item list before starting, because there is never one.

What to have ready before the call

Four things make the session quick. Your GSTIN and the shop name and address exactly as they appear on the certificate. A list of your main items with the unit each one sells in and your current rate. Your regular credit parties with what each owes today. And your bank details plus the UPI ID you want printed on bills. If any of it exists in a spreadsheet or a Tally export, send it across beforehand and we will have it loaded before we call. If it exists only in a register, photographs are fine.

Common setup mistakes

Three things cause most of the rework. Creating one generic item called "Steel" instead of separate items per size — you then never know what is left of each. Entering rates without deciding whether they include GST, so every bill needs correcting. And entering opening balances as a single lump for a party rather than checking them against the register, which means the first statement you send is wrong and the customer stops trusting the new system. Our team catches all three during the call, which is the main reason setup is done together rather than left to you.
