Quotation and Estimate — Converts Straight Into the Invoice

Large orders in the material trade start as a quotation and end as several deliveries. The gap between the two is where errors get in, because somebody re-types twenty lines from a photograph on a phone.

Building the quote

Pick the party and the items exactly as you would on a bill. Rates come from the item list or from that party's agreed rates, so the quote is consistent with what you actually charge rather than a figure worked out under pressure. Add a validity period — important in a trade where the steel rate moves daily — along with your terms and any delivery condition. The PDF carries your logo, GSTIN and signature, and goes out on WhatsApp from the same screen.

Converting without re-entry

When the order is confirmed the quotation becomes an invoice in one step, keeping every line, quantity and rate. You adjust only what changed, then bill it. The link between the two documents is kept, so months later you can see which quotation produced which order. Nobody re-keys a quote from a photograph, which is where a dropped line or a wrong quantity normally originates.

Staged supply against one quote

Material for a site rarely goes out in one load. One quotation can produce several bills over weeks, each linked back to it, so you can see what has been supplied against the quoted quantity and what is still to go. For a contractor working to a schedule, that running position is the thing they ring you about, and being able to answer it in ten seconds is worth more than it sounds.

Knowing what converts

Quotations sit in a list with their status, so open ones can be followed up rather than waited on. Over a few months the list tells you what proportion of your quoting turns into orders and which kinds of enquiry are worth the time. Most shops discover they quote a lot of business they never win and never follow up the ones they nearly did.

Quoting against a moving rate

The daily rate creates an awkwardness every steel dealer knows: a contractor asks for a price in the morning, comes back at four, and the mill has moved in between. The workable answer is to be explicit rather than to absorb the difference. A validity period on the quotation means the rate quoted is honoured until the date on it and no longer, which reads as professional rather than difficult and removes the argument entirely. For regular parties, a standing rate held against them does the same job without a fresh quotation each time.
