A Khata Book That Fills Itself In

Most khata apps ask you to type each entry — you bill on paper, then you open the app and record it again. MaterialBill does not, because the khata is built out of your billing. Raise a credit bill and the party's ledger has already updated by the time you have handed over the copy.

The difference between a khata app and a khata that updates itself

A standalone khata app is a digital version of the register: better than paper, still double entry. Every bill gets written once for the customer and typed again for the app, and the moment somebody is busy, the two stop matching. Because MaterialBill is the billing system as well, there is only one entry. The bill is the ledger entry. Payments recorded against a bill or against the account close it off. Nothing is typed twice and nothing drifts out of agreement.

Ageing is the number that actually matters

Knowing a contractor owes you four lakh is not useful on its own. Knowing that three lakh of it has been outstanding for over ninety days is what tells you to stop supplying and start calling. The outstanding screen ranks every party by amount and by age, so the list you work through in the morning is ordered by risk rather than by memory. Each party can be sent a WhatsApp reminder with their own statement attached as a PDF, which moves money without souring the relationship.

Let the customer see their own khata

Most credit disputes are not dishonesty, they are two people with different records. The customer portal gives each party a login to see their own bills, payments and balance whenever they want. Once a contractor can check his account himself, the monthly argument about what was delivered and what was paid mostly disappears — and when it does come up, both sides are looking at the same screen.

What a khata should record beyond the amount

A balance on its own settles nothing. What ends an argument is the detail behind it: which bill, on what date, what material, delivered to which site, in which vehicle, received by whom, and which payments have been set against it. That is what a proper khata entry carries here, because it is generated from the bill and the delivery rather than typed as a number. When a contractor says a load never arrived, you are not producing an amount, you are producing the challan with his own man's name on it. That is the difference between a digital register and an actual record.
