What is on it
Every bill with its number and date, every delivery with the vehicle and the site, every payment with how it was allocated, any returns or adjustments, and the closing balance — in order, over whatever period you choose. Sending it as a routine, not a demand
The shops that recover best send every credit party a statement on the first of the month whether or not anything is overdue. It reads as a record rather than an accusation, it surfaces disagreements while both sides still remember the load, and it means a genuine reminder later does not arrive out of nowhere. From the outstanding screen the whole party list takes a few minutes.
When an account gets serious
If a balance eventually has to go to a lawyer, to a settlement negotiation or simply to a hard conversation, what you need is not a figure but the full history — every bill, every delivery with its receiver, every payment, printable and dated. A statement built from real documents produces that on demand. One reconstructed from a register months later usually does not, and that gap is where money in this trade gets written off.
Statements for suppliers too
The same report runs on the supplier side, which is what you compare against the statement a distributor sends you. Two records side by side turn an afternoon of hunting through invoices into a five-minute comparison, and the differences come out as named documents rather than as an unexplained gap.
Reading a statement for what it tells you
A statement is usually treated as a demand, but read properly it is a description of a relationship. A party whose payments arrive in a steady rhythm at roughly the same interval is a good account even if the balance is large. One whose gaps are lengthening, or who has started settling the oldest bills only in part, is telling you something before their balance does. Looking at three months of a party statement before extending a larger credit limit is five minutes that regularly saves a much larger amount.
