The morning update
The mill rate arrives on WhatsApp, you work out your selling rate and update the item. Every bill raised after that — at the counter, by a supervisor at a site, at your second branch — uses it. What this prevents is the most expensive small mistake in the trade: a staff member billing at yesterday's rate because that is the number they remember. On a few tons of steel, repeated quietly, that is real money.
Party-wise rates
Wholesale and distribution do not have one price. A regular dealer has his rate, a new buyer has another, a party who settles in a week has earned a third. Rates held against the party mean the correct price appears when the party is picked rather than depending on who is behind the counter. A supervisor billing at a site charges the agreed price without having to know it.
Overrides that leave a trace
Where something is negotiated on the day, the line rate can be overridden without changing the party's standing rate — and the override is recorded. That matters because unrecorded discounting is invisible until year end, when the margin is lower than it should be and nobody can say why. Staff can be allowed to override up to a limit, or not at all.
Sending a price list
Contractors and dealers ask for a rate list constantly and most shops send a photograph of a handwritten sheet. A price list generated from your items, carrying your shop details, goes out as a PDF on WhatsApp and reflects today's rates rather than last month's. For a wholesaler that converts a surprising number of enquiries without a phone call.
Old stock at the new rate
The trade convention is to sell at today's rate even where the stock was bought cheaper, and that is the right practice — you lose when the rate falls and gain when it rises, and it averages over a year. What should not be lost is the purchase price, because that is what tells you the actual margin on the load rather than the notional one. Because the purchase cost is recorded separately from the selling rate, both figures survive, and the purchase-against-sale report shows what a rate move genuinely did to your position.
