The number to watch
Freight recovered against freight paid. In brick supply the run is often a larger variable than the kiln rate, and shops that quote a single delivered price never find out which routes are subsidised. Recording what you paid the vehicle and what you charged the customer, both as separate lines, gives you a monthly figure. Most suppliers discover they are losing money on their longest deliveries and making it back on the short ones, which is worth knowing before you quote the next distant site.
Per thousand, per trolley, per piece
Clay bricks are quoted per thousand, fly ash blocks and cement blocks per piece, and delivery is counted in trolleys or truckloads. A bill that mixes those without stating the conversion is where most disputes start. Setting the unit on the item and showing the load count on the challan means both sides are counting the same thing, which in a trade where a load is thousands of pieces matters more than it sounds.
Freight is half the conversation
The delivered price of bricks is the kiln rate plus the run, and the run changes with distance, diesel and whether the site is reachable. Charging a single delivered rate hides that, and when a customer compares two suppliers they are comparing two different distances. Show material and freight as separate lines: your rate looks competitive, the transport is explained, and you can see monthly whether you are actually recovering what delivery costs you.
Proof of what arrived
Nobody counts thirty thousand bricks off a trolley. What settles a later dispute is the challan — the date, the vehicle, the load count, the site and the name of whoever received it — held against the party and resendable months later. In a trade where the buyer is a contractor whose own payment is delayed, that record is the difference between a slow payment and a written-off one.
